Every conversation you’ve ever had, every email you’ve sent, every instruction you’ve followed – all of it traces back to one fundamental human activity: communication. It sounds simple enough, but beneath every exchange of words lies a structured process with moving parts that can either align perfectly or break down completely. Understanding how communication actually works – not just the talking and listening, but the encoding, decoding, feedback, and noise in between – is what separates clear, effective interaction from constant misunderstanding. This post unpacks the core mechanics of communication: what it is, how it moves from one person to another, and why feedback is the element that holds the whole process together.

Defining communication and its purpose
The word communication comes from the Latin communis, meaning “to share,” “to join,” or “to have in common.” That etymology alone captures its fundamental purpose: to create shared understanding between people. But the concept is richer than a single origin story suggests, and scholars have approached it from multiple angles.
Merriam-Webster defines communication as “the act or process of using words, sounds, signs, or behavior to express or exchange information or to express thoughts and feelings to another person.” This general definition covers everything from a spoken conversation to a hand gesture to a written policy document.
Management scholars have offered more specific framings. Keith Davis, one of the most frequently cited organizational behavior theorists on this subject, defines communication as “the process of passing information and understanding from one person to another.” Notice the word “understanding” here – Davis isn’t just talking about transmitting data. He’s emphasizing that the receiver must grasp the meaning behind the message, not merely receive its surface content.
He goes further, describing communication as “essentially a bridge of meaning between people – a way to safely cross the river of misunderstanding that separates all people.” This framing is telling. Communication isn’t presented as a technical transmission process but as a relational bridge-building activity.
Paul J. Meyer, a business and leadership expert, defines communication as “the process by which information is exchanged between individuals or groups through a common system of symbols, signs, or behavior.” His definition broadens the picture: communication is not limited to spoken or written words. It encompasses signs, symbols, and non-verbal behavior – anything two parties can use as a shared code.
Other scholars add further nuance. Louis A. Allen describes communication as “a systematic and continuous process of telling, listening, and understanding.” Newman and Summer frame it as “an exchange of facts, ideas, opinions, or emotions by two or more persons.” What all these definitions share is a common thread: communication is not a solo act. It requires at least two parties and involves the movement of meaning – not just information – between them.
Crucially, Wikipedia’s overview of communication theory notes that some theorists, following philosopher Paul Grice, hold that the intent to communicate is central – the transmission of information alone does not constitute communication if it happens unintentionally. Purpose, in other words, is part of what makes an exchange communicative.
The communication process explained
Definitions tell us what communication is. To understand how it works, we turn to the communication process – the step-by-step sequence through which a message travels from one person to another. The most widely used model for this is the sender-receiver model, which breaks the process into identifiable components.
According to LibreTexts’ Introduction to Communication, the key elements are: the sender (the original source of the message), encoding (the translation of an idea into a transmittable message), the channel (the medium used to send it), the receiver (the intended audience), decoding (the receiver’s interpretation of the message), and feedback (the receiver’s response back to the sender). Alongside these, noise – anything that interferes with the process – can disrupt communication at any stage.
The sender and encoding
Every communication begins with a sender who has an idea, feeling, or piece of information to share. But that idea cannot be transmitted in its raw, mental form. It must first be encoded – converted into symbols, words, gestures, or other forms that can travel through a chosen medium.
As Distance Learning Institute explains, encoding is the process by which a sender translates their thoughts into symbols – words, gestures, or images. Effective encoding requires the sender to consider their audience. A medical researcher speaking to fellow scientists will use technical terminology, while explaining the same findings to a general audience requires simpler language and different framing. The same idea, encoded differently, can reach or miss its mark entirely.
Channel and transmission
Once the message is encoded, it is transmitted through a channel – the sensory or medium-based route the message travels. Kirkwood’s SPC-101 course materials describe a channel as “a sensory route on which a message travels to the receiver for decoding.” While communication can technically use any of the five senses, most human communication travels through visual and auditory channels – voice, writing, facial expressions, and body language.
The choice of channel matters. Distance Learning Institute notes that complex or sensitive messages generally benefit from richer channels – like face-to-face meetings or video calls – where immediate feedback and multiple cues are available. Trying to resolve a conflict over text messages, for instance, removes tone of voice and facial expression, making misunderstanding far more likely.
The receiver and decoding
On the other end of the channel sits the receiver, whose job is to decode the message – to interpret the symbols the sender used and reconstruct their intended meaning. As described in Lumen Learning’s Communication in the Real World, encoding is the process of turning thoughts into communication, while decoding is the reverse: turning received symbols back into thoughts and meaning.
This is where a critical gap can form. The Distance Learning Institute puts it clearly: “The sender encodes based on their perspective, assumptions, and context, while the receiver decodes through their own lens.” A teacher might encode a lesson assuming students have certain background knowledge, but if students lack that foundation, they will struggle to decode the information accurately. The same encoded message can be decoded in entirely different ways by different receivers based on their experiences, knowledge, and context.
Noise: the unwelcome disruptor
Noise refers to anything that interferes with or distorts the message during transmission. According to Wikipedia’s overview of communication models, theorists distinguish between two main types: environmental noise, which distorts the signal on its way to the receiver (background sound, poor connection, physical distractions), and semantic noise, which occurs during encoding or decoding when a word or symbol is interpreted differently than intended. Both types can cause even a well-crafted message to miss its mark.
Understanding noise is essential because it explains why communication failures happen even when both parties are trying. The sender may have encoded the message clearly, the channel may be functioning properly, and the receiver may be attentive – and miscommunication can still occur if semantic noise causes different interpretations.
The importance of feedback in communication
Of all the elements in the communication process, feedback is arguably the most significant – and the most frequently overlooked. Many communication attempts stop at message delivery, as if sending a message is sufficient. It is not. Without feedback, a sender has no way of knowing whether their message was received, understood, or acted upon correctly.
BrandMentions defines feedback as the response or reaction a receiver gives back to the sender after receiving a message. It is what transforms a one-way transmission into a genuine two-way dialogue. As they put it: “without feedback, communication is nothing more than information.” Feedback is what gives the exchange relational and functional meaning.
Feedback as a measure of success
The primary function of feedback is to tell the sender whether the communication worked. OpenStax Principles of Marketing describes the feedback loop as “the checkpoint on a specific call to action – it tells the sender if the receiver understood the message as they were intending it when they encoded it.” In other words, feedback is the moment of verification: did the message land as it was meant to?
According to BrandMentions, feedback serves several interconnected functions. It completes the communication process, making it genuinely two-way. It helps measure the effectiveness of the message. It confirms whether the receiver’s interpretation matches the sender’s intention. And it aids in determining the next course of action – because what the receiver says in response tells the sender where to go next.
Forms of feedback
Feedback does not only come in the form of spoken responses. SLM MBA identifies three main forms: verbal feedback (a spoken reply, a question, a paraphrase like “So you’re saying we need the report by Friday?”), non-verbal feedback (nodding in agreement, looking confused, leaning forward), and behavioral feedback (following through on instructions correctly – or not). Each type communicates something about whether the decoding was successful.
Similarly, FellaFeeds notes that feedback can be formal or informal, immediate or delayed. A nod during a conversation is informal and immediate. A performance review is formal and delayed. SLM MBA describes how “effective feedback creates a continuous loop of improvement in communication – it allows for real-time adjustments, clarifications, and confirmations that enhance understanding.” If a sender notices confusion in a receiver’s response, they can immediately re-encode the message more clearly, choose a different channel, or adjust their approach.
This adaptability is what makes feedback indispensable. Ennova frames it this way: feedback is what allows both parties to find out whether the message has been understood correctly, and only once that confirmation is established can communication genuinely be considered complete. Without it, both parties may believe they are aligned when they are, in fact, operating on entirely different understandings.
The academic review published on Academia.edu on the importance of feedback in communication lists among its key points that feedback paves the way for new idea generation, sustains the communication process over time, and makes it possible to know whether one is truly communicating or only creating the appearance of communication. The distinction matters. Sending a message is not the same as communicating.
When feedback is absent
It is worth considering what happens in the absence of feedback. SLM MBA states it directly: “Without feedback, senders are essentially communicating in the dark, never knowing if their messages hit their target.” Instructions get misunderstood, strategies get misaligned, and relationships erode – not because anyone intended harm, but because the loop was never closed.
This is why models of communication that include a feedback loop – what theorists call interaction models – are considered more realistic and complete than linear, one-way transmission models. As Lumen Learning explains, the interaction model describes communication as a two-way process in which participants alternate roles as sender and receiver and generate meaning by sending messages and receiving feedback within physical and psychological contexts. The dynamic, back-and-forth nature of this model reflects how human communication actually works.
Understanding communication – its definitions, its components, and the critical role of feedback – is not just academic knowledge. It is practical, applicable insight into every exchange you participate in, from a brief text message to a complex professional negotiation. The sender-receiver model, with encoding, decoding, noise, and feedback at its core, gives you a vocabulary for diagnosing why some communications succeed while others fall flat.
