If you’ve ever opened Microsoft Excel and stared at a blank grid wondering where to begin, you’re not alone. Excel is one of the most widely used software applications in the world – used by hundreds of millions of people across industries for everything from simple lists to complex financial models. But before you can do any of that, you need to know how to open it, what you’re looking at, and how to move around. This guide walks you through everything you need to get started with MS Excel – from launching the application to understanding the core building blocks of any spreadsheet file.

Launching MS Excel

Opening Excel is straightforward, and there are a few ways to do it depending on how your computer is set up.

From the Start menu (Windows)

Click the Start button at the bottom-left corner of your screen (the Windows icon), then type “Excel” in the search bar. When Microsoft Excel appears in the results, click it to launch the application. If you use Excel regularly, it will likely appear in your pinned or recently used apps, so you may not even need to search.

From the desktop shortcut

If a shortcut has been created on your desktop, simply double-click the Excel icon to open it. This is the fastest way for everyday users. If no shortcut exists, you can create one by locating Excel in the Start menu, right-clicking it, and selecting Pin to taskbar or Send to Desktop.

Opening Excel from a file

You can also launch Excel indirectly – by double-clicking any existing .xlsx or .xls file in your File Explorer. Excel will open automatically with that file loaded. According to basic Excel training guides, you can also open an existing file from within Excel itself by going to File โ†’ Open โ†’ Browse, then navigating to where your file is saved.

What you see when Excel opens

When you first launch Excel, you’re greeted with a Start Screen. This shows recently opened files on the left and template options on the right. To begin with a fresh file, click Blank Workbook. Excel will open a new workbook – and that’s where your work begins.

Understanding the Excel interface

Once a workbook is open, you’ll see the main Excel window. It can look overwhelming at first, but it’s organized logically. Here are the key parts of the interface every beginner should know.

The Ribbon

The Ribbon runs across the top of the Excel window. It contains all the commands and tools you’ll use, organized into tabs like Home, Insert, Page Layout, Formulas, Data, Review, and View. Think of it as Excel’s main toolbar – everything you need is in here. The Ribbon is your primary tool belt in Excel, and the Home tab is where you’ll spend most of your time as a beginner.

The Formula Bar

Just below the Ribbon, you’ll see the Formula Bar. This displays the content of whatever cell is currently selected – whether that’s a number, text, or a formula. The cell contents can be edited directly in the Formula Bar or within the cell itself. It’s especially useful when you’re working with formulas that are too long to read inside a cell.

The Name Box

On the left side of the Formula Bar is the Name Box. It shows the address of the currently selected cell – for example, A1 refers to the cell in Column A, Row 1. You can also click the Name Box, type a cell address, and press Enter to jump directly to that cell – a useful trick when working with large spreadsheets.

The worksheet grid

The large grid that takes up most of the screen is your worksheet. It’s made up of columns (labeled with letters: A, B, Cโ€ฆ) and rows (labeled with numbers: 1, 2, 3โ€ฆ). Where a row and column meet is called a cell – the basic unit where you enter data. Cells are referenced by their location in the row and column on the sheet, so cell B3 is in Column B, Row 3.

What is a workbook?

In Excel, the file you work with is called a workbook. A workbook is simply a fancy name for a Microsoft Excel file – these two terms can be used interchangeably. When you save your work, you’re saving the workbook as a file on your computer, typically with the .xlsx extension.

Default naming of a new workbook

Every time you create a new blank workbook, Excel gives it a temporary name: Book1. If you open another new workbook in the same session, it becomes Book2, then Book3, and so on. These are placeholder names. When you go to File โ†’ Save As, you can give your workbook a proper, meaningful name before saving it to your desired location.

Opening multiple workbooks

Excel lets you have more than one workbook open at the same time. Pressing the “Close” icon will only close the current workbook and keep all other workbooks open. You can switch between open workbooks by clicking the Excel icon in your taskbar and selecting the one you want, or by using the View โ†’ Switch Windows option in the Ribbon. This is useful when you need to compare data across two files or copy information from one to another.

What is a worksheet?

Inside every workbook, there are one or more worksheets – also commonly called spreadsheets or just sheets. Excel documents are called workbooks, and each workbook has sheets, typically called spreadsheets. Think of the workbook as a binder, and each worksheet as a separate page within that binder.

Worksheet tabs

At the bottom of the Excel window, you’ll see small tabs labeled Sheet1, Sheet2, and so on. These tabs let you switch between worksheets within the same workbook. You can navigate between worksheets by clicking on one of these tabs, or by using the keyboard shortcut Ctrl + Page Up / Ctrl + Page Down on Windows.

Adding and renaming worksheets

To add a new worksheet, click the + (plus) icon next to the last tab at the bottom of the screen. To rename a sheet, double-click its tab and type a new name. You can also right-click a tab to access options like Insert, Delete, Rename, Move or Copy, and even Tab Color – which lets you color-code your sheets for better organization. Adding color tags to worksheet tabs is a big help in large workbooks.

How many worksheets can a workbook have?

Excel is generous here. Excel lets you have as many as 1,000 worksheets in a single workbook, though in practice, most users work with far fewer. For large workbooks with many sheets, you can right-click the left-side navigation arrows (near the sheet tabs) to get a pop-up list of all sheets, making it easy to jump to any one of them quickly.

Once you’re inside a worksheet, moving around efficiently is key. There are several ways to do it, depending on what you need.

Using the mouse

The simplest method: click any cell with the mouse pointer to select it. Use the scroll bars on the right and bottom edges of the worksheet to move through the grid when your data is spread across many rows or columns.

Using the keyboard

The keyboard is often faster for navigation. The arrow keys move the selection one cell at a time in any direction. Ctrl + Arrow Key jumps to the last cell with data in that direction – extremely useful for navigating large datasets. Pressing Tab moves you one cell to the right; Enter moves you one cell down. Excel’s navigation and shortcut keys can help you move faster and more precisely around a spreadsheet of any size.

Using Go To

For large worksheets, the Go To feature is a lifesaver. Press Ctrl + G to open the Go To dialog box, enter a cell address (like D50), and press Enter. Excel jumps directly to the specified cell – no scrolling required. You can also access this through Home โ†’ Find & Select โ†’ Go To.

Using the Navigation Pane

Excel also includes a Navigation Pane that gives you a full overview of everything in your workbook – tables, charts, named ranges, and more. The Navigation Pane can be opened by selecting View โ†’ Navigation, and it appears on the right side of the window. This is especially useful for complex workbooks with many elements spread across multiple sheets.

Key Excel terminology recap

Before moving forward, it helps to have these core terms firmly in mind:

  • Workbook: The Excel file itself (.xlsx). Everything you work on is contained in a workbook.
  • Worksheet (or Sheet): An individual tab within a workbook, made up of a grid of rows and columns.
  • Cell: The intersection of a row and a column – the basic unit of data entry in Excel.
  • Cell Address: The coordinate of a cell, written as a column letter followed by a row number (e.g., A1, C5, Z100).
  • Ribbon: The toolbar at the top of Excel containing all commands and features.
  • Formula Bar: The bar above the grid that shows and allows editing of the selected cell’s content.

These terms appear constantly in Excel tutorials, help documentation, and professional discussions. Getting comfortable with them early means you won’t feel lost when you start exploring more advanced features.

Saving your workbook

As soon as you start entering data, save your workbook. Go to File โ†’ Save As, choose a location, give the file a meaningful name, and click Save. The default format is .xlsx, which is compatible with all modern versions of Excel. To save changes to an already-named file, just press Ctrl + S at any time. It’s a habit worth building from day one – losing work to an unexpected crash is a frustrating and completely avoidable experience.
