But storing information effectively for study is a skill that goes far beyond putting pen to paper. It involves knowing when to capture information quickly, how to transform it into something meaningful, and how to organize it so you can retrieve it when it counts. Whether you’re preparing for exams, completing assignments, or building long-term knowledge, mastering how you store information is one of the most impactful study habits you can develop.

Note-taking vs. note-making: they’re not the same thing
These two terms are often used interchangeably, but they describe very different activities. In his 1962 book on study methods, Edgar Wright drew a clear distinction between the two: note-taking captures content as it’s delivered, while note-making processes that content into something personally meaningful.
What is note-taking?
Note-taking is what you do in real time – during a lecture, seminar, or meeting. The goal is speed and accuracy. You’re recording what someone else is saying so you have a written reference to return to later. According to a study skills guide from the University of Southampton, note-taking helps you record information for later use, interact with the material being discussed, and summarize ideas from lectures or texts. It’s inherently a faster process and often relies on the speaker’s own language, abbreviations, and shorthand.
Common note-taking approaches include the outline method, where you jot down key ideas in a hierarchical structure using bullets or indentation, and guided notes, where a teacher provides a template you fill in during the session. These methods work well in fast-paced environments where you don’t have the luxury of pausing to reflect.
One important finding from research: students who use note-taking strategies score around 13% higher on exams than those who rely solely on working memory. Simply putting ideas in writing – even quickly – creates a stronger foundation for recall.
What is note-making?
Note-making is a slower, more deliberate process. It happens after the lecture, during reading, or when you’re reviewing your notes. Instead of capturing someone else’s words, you’re rewriting ideas in your own language, making connections between concepts, and building a deeper understanding. Note-making involves reviewing, combining, and synthesizing ideas – and because it uses your own language rather than the source’s, the resulting notes are generally easier to understand and remember.
The process behind effective note-making can be broken into three steps, often called the 3R framework: Rephrase (rewrite ideas in your own words), Relate (connect new ideas to what you already know), and Revisit (return to your notes over time, adding examples and questions as your understanding deepens). This framework, outlined by Ness Labs, encourages active engagement rather than passive copying.
Note-making is also more protective against accidental plagiarism. When you rephrase material in your own words, you move away from the source’s phrasing naturally – which is especially important when writing academic assignments.
How they work together
Note-taking and note-making are not competing approaches – they’re complementary stages in the same learning process. Note-taking quickly captures information as it’s presented, while note-making processes and synthesizes it for deeper engagement and critical thinking. The best study strategy is to take notes during class and then make notes from those raw materials afterward, when you have time to think, reflect, and reorganize.
Using visual tools to store information more effectively
Once you’ve captured your raw notes, the next question is how to store that information in a format your brain can actually hold onto. Text-heavy notes have their place, but visual representations of information – diagrams, charts, tables, and mind maps – consistently outperform plain text when it comes to memory retention.
Research shows that learners retain up to 65% of information when visuals are used, compared to only 10% when listening to a lecture and 20% when reading text. The brain is a visual organ: approximately 50% of the brain’s cortex is involved in processing visual information, and the visual cortex can interpret an image in as little as 13 milliseconds.

Diagrams and mind maps
Diagrams are particularly useful for showing processes, relationships, and sequences. If you’re studying how a system works – a biological process, a historical chain of events, or a cause-and-effect relationship – a diagram makes the connections visible in a way that a paragraph of text simply cannot. Mind maps, which branch outward from a central concept, help students connect related ideas and have been associated with better memory, improved creativity, and stronger links between concepts. Tables are especially effective for comparing multiple items across the same criteria – for example, comparing theories, historical figures, or experimental results side by side. Restructuring content into a table, flowchart, or illustrative figure demonstrates understanding and saves significant time during exam revision.
The key principle across all visual formats is that you’re not just decorating your notes – you’re actively restructuring information into a form that mirrors how the brain prefers to store and retrieve it. Visual information is processed in a different part of the brain than verbal information, which leads to stronger encoding and retrieval when both formats are used together.
Organizing your notes for efficient study and recall
Capturing and visualizing information is only part of the equation. If your notes are scattered, inconsistent, or hard to navigate, they lose much of their value when you actually need to study from them. A deliberate organization system transforms a pile of raw notes into a reliable study resource.
Prioritize by topic, not by date
One of the most common mistakes students make is organizing notes chronologically – by lecture date or session. Organizing notes by topic rather than by date makes it significantly easier to locate the information you need when preparing for exams. When revision time comes, you want all your material on a given subject together, not spread across six weeks of dated entries.
A practical approach: use a separate section, binder, or digital folder for each subject or major topic. Within that, group related subtopics together. For digital notes, consistent naming conventions and tags make searching fast and reliable.
Use headings, subheadings, and the outline method
The outline method is one of the most effective structural approaches for organized notes. Key ideas are written furthest to the left, supporting ideas are indented below them, and specific details are indented further still. This hierarchical structure creates a logical visual roadmap of content, making it easy to follow the flow of information and quickly locate specific details. It’s particularly useful for structured lectures and textbook chapters.
Adding clear headings and subheadings to your notes – even if the original source didn’t use them – helps you chunk information into digestible sections. When you return to review, you can scan headings quickly to find what you need instead of re-reading everything.
Color-code your notes
Color coding is a simple but highly effective organizational tool. Assigning specific colors to categories of information – for example, blue for definitions, red for key dates, green for examples – creates instant visual cues that speed up both review and recall. Color-coded notes allow you to prioritize information at a glance, locate urgent content quickly, and track progress across different categories. The key is consistency: use the same color system across all your notes so the coding becomes automatic.
Summarize and condense after every session
After each lecture or reading session, take a few minutes to write a brief summary of the main ideas in your own words. Reviewing notes as soon as possible after class – ideally on the same day – is one of the most important habits for making notes actually work. This is when you fill in gaps, clarify confusing points, and begin the transition from raw note-taking to meaningful note-making.
Summaries serve a double function: they compress information into a reviewable format and they force you to actively engage with what you’ve recorded. If you can’t summarize it clearly, that’s a signal you need to revisit the material.
Use the Cornell method for structured recall
The Cornell method divides your note page into three sections: a large main column for your notes during the session, a narrow column on the left for cues and key questions, and a summary section at the bottom. The cue column is designed for key points, important connections, and questions – making it ideal for quick recall and self-testing after the session. While research suggests it doesn’t automatically outperform free-flow notes on exam performance, its structure actively prompts you to review and interrogate your material, which is where its real value lies.
Review and revise regularly
Organized notes lose their effectiveness if you never return to them. Setting aside at least 30 minutes each week to review your notes, identify gaps in understanding, and update content with new examples or questions reinforces long-term retention. This habit is especially important because memory decays rapidly without reinforcement – a phenomenon well documented in learning science.
Flashcards are another powerful complement to organized notes. By extracting key concepts and definitions from your notes and converting them into flashcard format, you create a tool for active recall – one of the most evidence-backed methods for retaining information over time.
Putting it all together
Effective information storage is a layered process. It starts with note-taking – capturing content quickly and accurately in real time. It deepens through note-making – rephrasing, connecting, and reflecting on that content after the fact. It becomes more memorable through visual tools – diagrams, mind maps, charts, and tables that engage the brain’s visual processing systems. And it becomes truly useful through consistent organization – structured, searchable, color-coded notes that you review regularly and can navigate with ease.
None of these steps require expensive tools or radical changes to your routine. A consistent system, practiced session by session, builds into a genuinely powerful study resource – one that reduces revision time, improves retention, and builds real confidence before exams.
